HAROWEEN
vendor rules
Bonnie Doon Shopping Centre, Edmonton · Saturday October 24 and Sunday October 25, 2026. These rules form part of every HAROWEEN vendor and artist application. Read them fully and share them with everyone working your booth.
01Applications and approval
Applications are reviewed for fit, quality and category balance and are answered within 48 hours. Submitting an application does not guarantee acceptance, a particular booth location, category exclusivity or any level of sales. AniDora Events may approve, decline, waitlist, relocate or remove a vendor where required for safety, mall operations, event quality, non-compliance, misrepresentation or inappropriate conduct. Booth sharing must be declared on the application and approved with it; undeclared sharing forfeits the booth without refund. Booth spaces may not be split, sublet or transferred to another business without written approval.
02Fees and payment
Vendor booths (8 ft × 5.5 ft) are $200 per weekend, artist spaces (8 ft × 5.5 ft) are $100 per weekend and premium end caps (approx. 10 ft × 11 ft, end of a row, two tables, limited) are $400 per weekend, plus 5% GST. Applications received before October 1, 2026 are invoiced at the early-bird rate ($150, $50 and $300 respectively); the early-bird rate is not applied retroactively and cannot be combined with any other discount. Add-ons (power $30 per outlet, extra table $25, extra chair $5) are invoiced at the same time. There is no booking deposit: on approval AniDora Events issues one Square invoice for the full amount, due Saturday, October 17, 2026. No payment is taken from an applicant who has not been approved, and if AniDora Events declines or waitlists an application after a payment has been made, that payment is voided or refunded in full the same day. Spaces still unpaid after October 17, 2026 are released to the waitlist. There is no damage deposit at AniDora Events shows.
All booth fees, rentals, electrical fees and other payments are final, non-refundable and non-transferable where the vendor cancels, withdraws, fails to attend, arrives late, leaves early, has staffing or travel problems, has poor sales or is removed for violating these rules. That non-refundability binds the vendor, not AniDora Events: if AniDora Events or the venue cancels, materially shortens or moves the show, every paid vendor may choose either a full transfer of all monies paid to any AniDora Events show within 12 months or a full refund of all monies paid. The offer is sent within 72 hours of the change and processed within 14 days. If the shopping centre closes or orders the event closed for any day because of weather, a utility failure, an emergency or a similar cause, booth fees for that day are not refunded in cash; affected vendors receive a pro-rated credit toward the next AniDora Events show.
03Booth space, add-ons and setup
Vendor booths measure 10 feet wide by 11 feet deep and artist spaces measure 8 feet wide by 5.5 feet deep. Each includes one skirted 6 ft × 2.5 ft table and one chair and shares a decorative AniDora backdrop with the booth behind it. The backdrop is decorative only; nothing may be pinned, hung, taped or leaned on it. All merchandise, displays, signage, storage, seating and equipment must stay fully inside your assigned space and may not obstruct aisles, neighbouring booths, exits or public areas. Displays and banners may stand up to 6 feet high. Final booth placement, add-on approval and setup configuration are determined by AniDora Events.
All add-ons must be requested on the application or in writing before the add-on deadline of Saturday, October 3, 2026, are subject to availability, and are not guaranteed until confirmed. Electrical equipment must be declared on the application. Vendors with approved power bring their own CSA-approved extension cords and breakered power bars; every cord crossing a walkway is covered, no cord crosses a public aisle, and heat-producing appliances require written approval. Nothing may be taped, pinned, nailed, leaned or attached to mall walls, pillars, planters, railings or storefronts.
04Schedule, staffing and teardown
Show hours follow the shopping centre's hours: Saturday, October 24, 10:00 a.m. to 5:00 p.m., and Sunday, October 25, 12:00 p.m. to 5:00 p.m. Saturday load-in begins about two hours before opening through the loading dock, in the 15-minute arrival slot printed in your load-in packet; Sunday access opens about two hours before Sunday's opening. Every vendor checks in at the dock before touching the floor. Booths must be show-ready 30 minutes before opening each day, and mall staff or AniDora staff may walk the street before doors to confirm it.
Booths must stay open, fully staffed, presentable and operational for all public hours on both days. Early teardown, packing up or leaving a booth unattended during show hours is not permitted without prior approval, breaks the mall's condition for the event, and forfeits early-booking or rebooking pricing at future shows. A paid vendor who has not checked in at the dock by one hour after Saturday's opening forfeits the booth for the weekend without refund, and the space may be reassigned. Saturday cover-and-secure must be completed within one hour after closing; Sunday teardown must be completed within two hours after closing, with every space left exactly as you found it. Dollies and carts move through the loading dock only, never through public mall entrances.
05Overnight
Booths may stay set up Saturday night. Cover your table with your own cloth, unplug power, take cash and high-value stock home and keep aisles clear. Mall security patrols after hours; AniDora Events staff leave after the corridor is walked with security. Stock left at a booth overnight is left at the vendor's own risk. AniDora Events, Bonnie Doon Shopping Centre and mall management are not responsible for loss, theft or damage to vendor property at any time.
06Merchandise
HAROWEEN is a family show inside an operating shopping centre, and everything at a booth must be appropriate for all ages. Only the products described on your approved application may be sold. The following are not permitted at any booth: adult (18+) merchandise or imagery; mass-produced goods bearing licensed characters or brands without a verifiable licence (bootleg plush, factory figures, printed keychains, standees and the like); functional or live-edge blades, with replica or prop weapons sold sheathed or wrapped and never drawn or demonstrated; open flames of any kind, including lit candles and incense; helium balloons, aerosols and confetti. Handmade fan art is the artist's own responsibility, and the vendor indemnifies AniDora Events and the venue for any intellectual-property claim arising from their goods. Food or beverage sales and sampling require the local health authority's temporary food permit and written mall clearance on file before approval; without the permit by Saturday, October 3, 2026, the booth converts to non-food stock or is released.
AniDora Events walks every booth during the first hour of Saturday. Flagged items come off the table immediately; refusal closes the booth without refund. Illegal, unsafe, counterfeit, offensive, adult, prohibited or undisclosed merchandise may be removed at any time.
07Conduct and mall standards
Be a good neighbour: courteous and cooperative with fellow vendors, AniDora Events staff, mall staff, security and shoppers. Vendors are responsible for the conduct of everyone working their booth. Music and video stay at conversation level; megaphones, loudspeakers and vendor sound systems are not permitted. Keep aisles completely clear, flatten and hide boxes and packing material, take your own garbage to the designated disposal area through the day, and never leave boxes, wrap or garbage in aisles, at booths or in the common area. Mall guest services, security and AniDora Events staff are the contacts in an emergency; follow the direction of mall security and fire safety at all times.
08Damage, risk and liability
Vendors are responsible for any damage they, their staff or their equipment cause to mall property or AniDora Events equipment, and agree to pay the cost of repair or replacement. Vendors are responsible for their own setup, teardown, merchandise, displays, equipment, staff, permits, licences, taxes, insurance, payment processing, product safety, customer service and legal compliance, and participate at their own risk. Vendors are responsible for theft, loss, damage, injury, product claims, intellectual-property disputes and the conduct of their employees or helpers, and indemnify AniDora Events and the venue for claims arising from their goods, displays, staff or conduct. AniDora Events, Bonnie Doon Shopping Centre, mall management, staff, sponsors and contractors are not responsible for lost profits, reduced attendance, property loss, personal injury or other indirect losses, except where liability cannot legally be excluded. As with any live event, traffic, attendance and sales are not guaranteed.
09Photography and media release
AniDora Events and the shopping centre photograph and film the show for promotion. By participating, the vendor and everyone working the booth consent to appearing in AniDora Events photos and video, including paid advertising, pitch and commercial material, across AniDora Events and venue channels, without compensation. Entrance signage notifies the public that the event is photographed; anyone who does not wish to be photographed may tell the help desk.
10Personal information
Application, contact and payment details are collected to process your application, invoice you, run the show and tell you about future AniDora Events shows. Payment is processed by Square. You can unsubscribe from show email at any time. The full notice is on our privacy page.
11Changes to the show
If the event is postponed, relocated, modified or disrupted because of weather, mall requirements, government restrictions, emergencies, utility failures or circumstances beyond the organizer's control, AniDora Events may transfer the booking to a replacement date or provide another reasonable accommodation, in addition to the transfer-or-refund choice in section 02 where AniDora Events or the venue cancels, materially shortens or moves the show. See section 12 for how these rules and other show terms may change.
12Changes, errors and interpretation
AniDora Events may amend, add to or replace these rules, the show schedule, booth pricing, add-on pricing and any other show terms at any time, at its sole discretion, including to correct errors, to comply with venue, safety or legal requirements, or to improve the show. The current version published on the AniDora Events website governs, identified by the version date at the top of this page; vendors are notified of changes that materially affect their booking. Typographical errors, omissions or inconsistencies in these rules, on an application form, in an email, on social media or in any other material do not bind AniDora Events, and AniDora Events may correct them without liability. Where materials conflict, these rules prevail, and AniDora Events' interpretation of them is final. If any provision of these rules is found to be unenforceable, the rest remains in effect.
13Agreement
By submitting an application, making payment or participating in the event, the vendor confirms that they have read, understood and agreed to these rules, version September 27, 2026, and to any short rules list printed on the application. Failure to follow organizer, security, mall, fire-safety or legal requirements may result in immediate removal without refund.
